BeautyBar.Tech is a workforce management platform operated by My Village Plus Consulting Inc., a corporation incorporated in Ontario, Canada. When we say “we”, “us”, or “our” in this policy, we mean My Village Plus Consulting Inc.

2. Data We Collect

Account & Profile Data

When you create an account or are invited by your employer, we collect your name and email address. Employer accounts also provide a business name and billing details.

Employee Data

Employers may store employee records including names, contact information, hire dates, roles, training progress, performance notes, and scheduling information. This data is entered by the employer and stored within their isolated tenant.

Usage Data

We automatically collect basic usage data such as pages visited, features used, browser type, and device information. This helps us improve the platform.

Payment Data

Payment processing is handled by Stripe. We do not store credit card numbers on our servers. Stripe’s privacy policy governs the handling of your payment information.

3. How We Use Your Data

We use the data we collect to:

  • Provide and operate the BeautyBar.Tech platform
  • Authenticate users and manage access permissions
  • Process subscription payments via Stripe
  • Send transactional emails (sign-in links, notifications, onboarding invitations)
  • Improve platform performance, reliability, and user experience
  • Respond to support inquiries and contact form submissions
  • Detect and prevent abuse or unauthorized access

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Cookies & Analytics

We use Google Analytics 4 (GA4) to understand how visitors interact with our marketing site. GA4 may set cookies on your device. We implement Google Consent Mode v2, which means analytics cookies are only activated after you consent via our cookie banner.

Essential cookies required for authentication and platform functionality do not require consent and are always active when you are signed in.

5. Data Storage & Security

Your data is stored in Google Cloud (Firebase/Firestore) infrastructure located in the United States. We implement security measures including:

  • Encryption in transit (TLS) and at rest
  • Database-level tenant isolation enforced by Firestore security rules
  • Role-based access control with server-side enforcement
  • Rate limiting on authentication and contact endpoints
  • HTTP security headers (HSTS, X-Frame-Options, Content-Type-Options)

6. Employee Data & Employer Responsibility

When an employer uses BeautyBar.Tech to manage their team, the employer is the data controller for their employees’ personal information. We act as a data processor on the employer’s behalf. Employers are responsible for:

  • Having a lawful basis to collect and process their employees’ data
  • Informing employees about how their data is used
  • Responding to employee data access or deletion requests

7. Data Retention

We retain your data for as long as your account is active or as needed to provide services. When an account is terminated, we will delete or anonymize your data within 90 days, unless we are required by law to retain it longer.

Contact form submissions are retained for up to 12 months and then deleted.

8. Your Rights Under PIPEDA

As a Canadian organization, we comply with the Personal Information Protection and Electronic Documents Act (PIPEDA). You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Withdraw consent for non-essential data processing
  • Request deletion of your personal information (subject to legal obligations)
  • File a complaint with the Office of the Privacy Commissioner of Canada

9. Changes to This Policy

We may update this privacy policy from time to time. If we make material changes, we will notify registered users by email. The “last updated” date at the top of this page indicates when the policy was last revised.
